Record verification

It is each student's responsibility to regularly view their student record and ensure the accuracy of the information within. Inaccurate program or course information appearing on your record can jeopardize graduation.

At the start of each term (and BEFORE the Add/Drop deadline) you are strongly encouraged to verify your student record. Login to Minerva > Student Menu > Student Records Menu > View your unofficial transcript.

Verify the following information:

Academic Standing

Review your academic standing on your unofficial Minerva transcript each term and report any issues to your assigned Degree advisor. For more information please refer to the Grading, GPA and academic standing page.

Advanced standing and transfer credit

Awarding advanced standing or transfer credit is how 51Թrecognizes university-level coursework you have completed at another institution. In both cases, you may receive credit and/or exemptions from specific 51Թcourses, allowing you to progress more quickly towards the completion of your degree.

Once processed, your credit and equivalencies will be viewable at the top of your unofficial Minerva transcript.

Holds

Foundation Courses Incomplete: this hold is automatically placed on the records of all newly admitted students entering the B.Sc. or B.A. & Sc. with less than 24 credits. The “Foundation Courses Incomplete” hold is a reminder, located at the top of your student record, that Foundation Program courses are in progress. This hold will not block you from course registration.

Programs

Your year of study (U0, U1, U2, or U3) should reflect the total number of credits you have completed or received so far, considering that the B.Sc. and B.A. & Sc. degrees require a total of 120 credits (minimum).

U0 students:

  • You will be registered in the Foundation Program.
  • You cannot yet add a minor or second program.
  • You cannot yet choose between Liberal, Majors, Joint Majors, Honours, or Joint Honours.

U1 and higher students:

  • You chose your Program Group at the time of application or transfer. Check that this is accurate, near the top of your unofficial transcript.
  • Your Program Stream (also referred to as a program structure) can be either Liberal, Major, Joint Majors, Honours, or Joint Honours. Check that this is accurate, especially in the current term and in your term of graduation; you will graduate from the Major program if you are registered in the Major program, even if you completed all courses and requirements for the Honours program.
  • Check your Program(s) of Study.
    • Undeclared means that you have not yet chosen (declared) your program on Minerva.
    • A second program, such as a Minor, is required in the Liberal stream, and optional for Majors, Joint Majors, Honours, and Joint Honours.
    • You should not be registered in second/additional programs you are not pursuing.

Courses

You are strongly encouraged to confirm that your course registration is accurate before the Add/Drop deadline. In addition, you should also verify that you will not end up with any issues by checking the elements below as they relate to your course selection for the term:

Prerequisites and corequisites

Make sure you have the prerequisites and/or corequisites for the courses you are registering for. You are urged to make an informed and cautious decision before taking a course for which you do not have the required prerequisite. Minerva will not prevent you from registering for a course you should not take.

Course restrictions and overlap

Some courses have restrictions. This could mean that the course content overlaps with other courses. This information is available in the course description. If you take a course that overlaps  with a course you have already completed, the second course will be E-flagged. This means you will not earn credit for the second course and the grade will not be included in your CGPA. If you have questions about course overlap, please do not hesitate to contact the department which offers the course.

Out-of-Faculty courses

The number of credits you can take outside the Faculties of Arts and Science is limited ( / ). If you exceed the number of credits you are permitted to take, the extra credits will be E‐flagged (excluded from the credit count and the CGPA).

Repeated courses

You are permitted to re‐take a course in which you have received a grade of “W”, “F”, “J”, “U” or “D”.  If you re‐take a course in which you have received a grade of “D”, no additional credit will be given; however, both grades will be included in your CGPA (i.e. the second grade does not replace the initial grade). You cannot re‐take a course in which you have received a grade of C or better, nor if you have received (or are expecting to receive) an exemption or transfer credit for it. If you re‐take a course in which you received a grade of C or better, or for which you received an exemption, the second course will be E-flagged (excluded from the credit count and the CGPA).

Satisfactory/Unsatisfactory grading option

Consult the S/U option page for full details on what it means to use S/U, the implications, and things to consider before applying this option.

  • You can add the S/U option until the last day of course add/drop for the term the course is taken.
  • You can remove the S/U option until (approximately) the 9th week of the term the course is taken (it is the same day as the deadline to withdraw from a course without a refund).

Verify your record for S/U BEFORE the above deadlines to ensure it accurately reflects your choices. Decisions are final after the deadlines. It is not possible to reverse your decision after the deadlines. Talk to your advisor if you are unsure.
